What are Domains in Gangmates?

A Domain in Gangmates represents the custom web address (e.g., example.com) associated with your organization's email addresses, branding, or internal workflows. Domains help tailor Gangmates to reflect your organization’s identity and ensure consistency in communications and employee email addresses.

Use Cases for Domains

  1. Custom Email Address Generation:

    • Domains are used to create standardized email addresses for employees (e.g., firstname.lastname@example.com).

    • This ensures consistency across your organization and reflects your company’s branding.

  2. Company Branding:

    • Integrate your organization's domain for a professional look across Gangmates, especially in reports, employee directories, and communications.

  3. Multi-Domain Management:

    • Manage multiple domains for subsidiaries, departments, or teams operating under different names.

  4. Simplified Administration:

    • Easily edit or update domains without affecting workflows, provided users are assigned to active domains.

How to Manage Domains

Adding a Domain

  1. Access the Branding Section:

    • Navigate to the Configurations tab.

    • Select Branding from the dropdown menu.

  2. Add a New Domain:

    • Click on the Add Domain button.

    • Enter the Domain URL (e.g., example.com). Avoid using "www" or "https".

    • Enter the Domain Display Name (e.g., "Example Inc").

    • Click Save to add the domain.

The domain is now available for generating email addresses and other uses within Gangmates.

Editing a Domain

  1. Access the Domain Section:

    • Navigate to the Branding page under Configurations.

    • Locate the Domain section.

  2. Edit Domain Details:

    • Click on the Edit button next to the domain you want to modify.

    • Update the Display Name or Domain URL as needed.

    • Click Save to finalize changes.

Deleting a Domain

  1. Access the Domain Section:

    • Navigate to the Branding page under Configurations.

    • Locate the Domain section.

  2. Delete the Domain:

    • Click the Delete button next to the domain you want to remove.

    • Confirm the deletion in the prompt by clicking Delete.

Important: Before deleting a domain, ensure all users currently associated with that domain are switched to another active domain. This avoids disruptions in workflows and email generation.

Best Practices for Managing Domains

  1. Keep It Simple: Use clean and concise domain names without "www" or "https" for consistency.

  2. Avoid Frequent Changes: Minimize changes to domains to prevent disruption to email addresses or workflows.

  3. Plan for Multi-Domain Organizations: If your company operates under multiple brands or subsidiaries, define and manage all domains within Gangmates.

  4. Review Before Deletion: Always verify user associations before deleting a domain to avoid errors.
