Categories and Subcategories

Introduction

The Categories and Subcategories features in Gangmates provide a structured way to classify and organize items across the system. While they are primarily used for invoice categorizations, these features can also be extended to other areas of the platform in the future, offering flexibility and consistency.


Key Features

  1. Categories:

    • High-level classification for grouping related items.

    • Examples: "Office Supplies," "Marketing Expenses," "Professional Services."

  2. Subcategories:

    • More specific classifications that fall under a parent category.

    • Examples under "Office Supplies": "Stationery," "Furniture."


Pre-Requisites

  • Category Creation: Ensure at least one category is created before adding subcategories, as subcategories must be tied to a parent category.


Step-by-Step Guide

Step 1: Create a Category

  1. Navigate to the Categories Page:

    • Go to Configurations from the main menu.

    • Select Categories from the dropdown.

  2. Add a New Category:

    • Click on the Add Category button.

    • Fill in the required fields:

      • Name: Enter the name of the category.

      • Description: Provide a brief description of the category's purpose.

  3. Save the Category:

    • Click Save to create the category.

    • The category will now be available for assigning subcategories or using in invoices.


Step 2: Create a Subcategory

  1. Navigate to the Subcategories Page:

    • Go to Configurations from the main menu.

    • Select Subcategories from the dropdown.

  2. Add a New Subcategory:

    • Click on the Add Subcategory button.

    • Fill in the required fields:

      • Name: Enter the name of the subcategory.

      • Description: Provide a brief description of the subcategory's purpose.

      • Select a Category: Choose the parent category this subcategory belongs to from the dropdown list.

  3. Save the Subcategory:

    • Click Save to create the subcategory.

    • The subcategory will now be tied to the selected category and can be used in invoices.


Use Cases

  1. Invoice Categorizations:

    • Categories and subcategories help group invoice items for better tracking and reporting.

    • Example: An invoice item for office chairs can be categorized under "Office Supplies" > "Furniture."

    • Refresh the page or ensure the category or subcategory was successfully saved.
